Our client, a global healthcare packaging company based in Clara, County Offaly, is seeking a HR Administrator to join their team. This role is responsible for providing high-quality HR administration and coordination support across all aspects of the employee lifecycle, ensuring compliance with employment legislation, company policies and HR best practice while delivering an excellent employee experience.
Main Duties/Responsibilities:
1. Recruitment & Onboarding: Support end-to-end recruitment process including job adverts, candidate screening, interview scheduling, reference checking, offer preparation and contract issuance. Support new starters onboarding and induction, sharing of Org announcements, ensure a positive employee experience.
2. Employee Records & HR Systems: Maintain accurate and up-to-date employee records on the HRIS and TMS, ensuring data integrity, confidentiality and compliance with GDPR. Ensuring filing is accurate, updated and maintained.
3. Payroll & Time Management: Act as the key member for the HR team for payroll query’s, ensuring accurate and timely submission of all changes including new starters, leavers, pay changes, cycle to work, bonuses, overtime & deductions. Maintaining the TMS system including attendance, absence, leave and overtime records.
4. Absence Management- Manage absence reporting processes, arranging OC Health appointments, maintain accurate absence records and support return to work interviews, welfare meetings and related documentation.
5. Employee Relations Support: Provide administrative support to the HRBP in relation to employee relations matters including investigations, disciplinary, grievance and performance management processes. Prepare correspondence, meeting documentation and case notes as required.
6. Contracts & Documentation: Prepare, issue and maintain contracts of employment, variations and associated letters in line with company policy and employment legislation. Track probationary periods & warning tracker, issuing relevant documentation when required.
7. Employee Queries: Act as the first point of contact for employees HR queries, providing accurate information and escalating complex issues to the HRBP/Manager as appropriate.
8. Reporting & Analytics: Produce regular HR reports and people metrics, including headcount, recruitment activity, turnover, absenteeism and other key performance indicators to support business decision making.
9. Employee Engagement: Support employee engagement initiatives and wellbeing activities that contribute to a positive workplace culture.
10. Compliance & Audit Support: Support internal and external audits by preparing HR documentation and ensuring compliance with company procedures, employment legislation and quality standards.
11. Policy & Procedure Maintenance: Maintain HR policies, procedures, forms and templates, ensuring documentation remains current, compliant and accessible.
12. Agency & External Liaison: Liaise with external service providers as required, ensuring processing of PO’s are completed accurately and in a timely manner.
13. General Administration: Carry out any other reasonable duties commensurate with the role, as requested by the HR Business Partner or HR Manager.
Requirements:
· 3rd Level qualification in HR, Business or related discipline
· Good understanding of Irish employment legislation and HR best practice.
· Experience maintaining HR systems and employee records.
· Knowledge of payroll administration and Time & Attendance systems.
· Experience supporting recruitment and onboarding processes.
· Strong administrative and document management skills.
· Ability to prepare accurate HR reports and analyse HR data.
· Understanding of GDPR and the importance of maintaining confidential employee information.
· Experience working within a manufacturing or regulated environment would be an advantage but is not essential.
· Excellent attention to detail with a high level of accuracy.
· Strong organisational and time management skills.
· Ability to prioritise multiple tasks and work effectively under pressure.
· Excellent verbal and written communication skills.
· High level of professionalism, confidentiality and integrity.
· Proficient in Microsoft Office applications, particularly Excel, Word and Outlook.
